Tent Rental Terms & Conditions

1. Reservation & Payment

  • A signed Agreement and deposit of 30% are required to secure booking.
  • Full payment is due upon arrival for installation.
  • HST (13%) will be applied in accordance with the Excise Tax Act (Canada).
  • Deposits are non-refundable if cancelled 60 days in advanced of original booked date.

2. Permits & Code Compliance (Ontario)

  • The Renter is responsible for obtaining all required municipal permits.
  • Tents may require permits under the Ontario Building Code Act, 1992 and local municipal by-laws.
  • The Renter must comply with fire code, occupancy limits, and inspection requirements.
  • Streamline Event Rentals reserves the right to refuse installation if required permits are not obtained.

3. Utility Locates (Mandatory)

  • The Renter must ensure underground utilities are properly located prior to staking.
  • Utility locates must comply with the Ontario Underground Infrastructure Notification System Act, 2012.
  • If staking is not possible, ballast (concrete weights) will be required at additional cost.
  • Streamline Event Rentals is not responsible for underground damage if proper locates were not completed.

4. Site Requirements

The Renter must ensure:

  • Clear, level installation area
  • Adequate truck access
  • Disclosure of septic beds, irrigation, water lines, and buried services
  • Safe ground conditions

Streamline Event Rentals is not responsible for lawn damage, ruts, soil compaction, or mud resulting from installation or weather.

5. Wind, Weather & Mandatory Evacuation

  • Tents are temporary structures and are not designed for extreme weather events.
  • If sustained winds or gusts reach 40 km/h or greater, the Renter agrees to:
    • Cease use if directed
    • Remove sidewalls if instructed
    • Evacuate occupants if conditions are unsafe
  • Streamline Event Rentals may delay or cancel installation due to unsafe weather conditions.
  • No refunds shall be issued due to weather-related safety decisions.

6. Rain Plan & Water Intrusion

  • Tents provide overhead shelter only and are not guaranteed to prevent water intrusion during heavy or wind-driven rain.
  • The Renter is responsible for implementing a weather contingency plan, including drainage, flooring, or backup indoor arrangements.
  • Streamline Event Rentals is not responsible for water pooling, mud, condensation, or damage to personal property due to weather.
  • Once installed, tents are non-refundable due to inclement weather.

7. Heating, Cooking & Open Flame

  • No open flames, BBQs, propane heaters, or cooking equipment are permitted inside or near the tent unless approved in writing.
  • All heating devices must comply with Ontario fire regulations.

8. Damage, Loss & Replacement

The Renter assumes full responsibility for the tent from installation to removal and is liable for:

  • Tears, burns, staining, vandalism, or misuse
  • Weather damage caused by failure to follow safety instructions
  • Theft or missing components

Replacement cost will be charged at the current market value.

No tape, nails, screws, staples, or adhesives may be used on tent fabric or frame.

9. Tent Relocation

  • Tents may not be moved once installed.
  • Relocation requires full dismantle and reinstallation charges.
  • Streamline Event Rentals is not responsible for placement errors due to incorrect measurements provided by the Renter.

10. Weather Monitoring Responsibility

  • The Renter is responsible for monitoring weather conditions during the event.
  • Streamline Event Rentals does not provide on-site supervision after installation.
  • In severe weather, occupants must vacate the tent immediately.

11. Insurance

  • For large or public events, the Renter may be required to provide $2,000,000–$5,000,000 Commercial General Liability insurance naming Streamline Event Rentals as additional insured.
  • The Renter assumes full liability for injuries or damages arising from tent use.

Nothing herein limits liability where prohibited by Ontario law.

12. Limitation of Liability

Streamline Event Rentals liability is limited to the total rental amount paid.

Under no circumstances shall Streamline Event Rentals be liable for:

  • Event cancellation losses
  • Business interruption
  • Indirect or consequential damages

This Agreement shall be governed by the laws of the Province of Ontario.

13. Force Majeure

Streamline Event Rentals is not liable for failure to perform due to severe weather, natural disasters, government orders, labour disruptions, or other events beyond reasonable control.

DISHWARE & CONCESSION EQUIPMENT

RENTAL TERMS & CONDITIONS

This Addendum forms part of the Rental Agreement between Streamline Event Rentals and the Renter.

Applies to:
Plates • Glassware • Flatware • Cotton Candy Machines • Slushy Machines • Popcorn Machines

1. Rental Period

  • Rental period is from time of delivery/pickup until scheduled return.
  • Late returns may result in additional daily rental charges.

2. General Responsibility

The Renter assumes full responsibility for all rented items from delivery or pickup until returned and inspected by Streamline Event Rentals.

The Renter is liable for:

  • Loss
  • Theft
  • Breakage
  • Damage
  • Excessive cleaning

Replacement charges will be billed at full replacement value.

3. Plates, Glassware & Flatware

Cleaning Requirements
  • All dishware, glassware, and flatware must be rinsed free of food debris prior to return.
  • Items must be returned in original racks or containers.
  • Do NOT wash unless instructed (commercial sanitizing is completed by Rental Company).

Additional cleaning fees may apply for:

  • Excess food residue
  • Wax, lipstick, grease buildup
  • Improperly packed items
Breakage & Shortage
  • All quantities are counted before delivery and after return.
  • Missing or broken items will be charged at replacement cost.
  • Standard industry breakage allowance (if offered) must be stated in writing to apply.

4. Cotton Candy Machine Rental Terms

The Renter agrees:

  • Machine must be operated by a responsible adult (18+).
  • Only approved floss sugar products may be used.
  • Machine must be kept dry at all times.
  • Unit must be cleaned of excess sugar residue prior to return (wipe down only — do not disassemble).

The Renter is responsible for:

  • Burn damage
  • Motor damage from misuse
  • Water exposure
  • Sticky buildup due to improper cleaning

5. Slushy Machine Rental Terms

The Renter agrees:

  • Machine must remain upright at all times.
  • Unit must not be transported while filled.
  • Only approved slushy syrup mixtures may be used.
  • Water must never be added beyond recommended fill lines.
  • Machine must be emptied and rinsed before return.

The Renter is responsible for:

  • Compressor damage from improper use
  • Motor burnout
  • Freezing cylinder damage
  • Internal damage from unauthorized liquids (alcohol, dairy, etc.)

The machine requires adequate electrical supply (dedicated outlet recommended).

6. Popcorn Machine Rental Terms

The Renter agrees:

  • Machine must be operated by an adult (18+).
  • Only approved popcorn oil and kernels may be used.
  • Kettle must be wiped clean after cooling (do not immerse in water).
  • Machine must remain dry and protected from rain.

The Renter is responsible for:

  • Burn damage
  • Kettle damage from improper cleaning
  • Grease buildup due to failure to clean
  • Electrical damage

7. Electrical Requirements

The Renter is responsible for ensuring:

  • Proper voltage supply
  • No overloading of circuits
  • Safe extension cord use (if applicable)

Streamline Event Rentals is not responsible for tripped breakers or inadequate site power.

8. Outdoor Use & Weather

  • Concession equipment must be kept under cover at all times.
  • Equipment may not be exposed to rain, snow, or excessive moisture.
  • Weather damage is the responsibility of the Renter.

9. Safety & Supervision

  • Equipment must be supervised at all times during operation.
  • Streamline Event Rentals is not responsible for injuries resulting from misuse or lack of supervision.
  • The Renter agrees to indemnify and hold harmless Streamline Event Rentals from claims arising from use of equipment.

Nothing herein limits liability where prohibited by Ontario law.

10. Loss & Replacement Costs

Replacement values (approximate and subject to change):

  • Dinner Plates: $6-15 each
  • Glassware: $6-15 each
  • Flatware: $6 each
  • Cotton Candy Machine: $600.00
  • Slushy Machine: $3000.00
  • Popcorn Machine: $500.00

Final replacement cost determined at current market value.

11. Inspection & Acceptance

All items must be inspected upon receipt.
Any discrepancies must be reported immediately.

Failure to report discrepancies constitutes acceptance of quantities and condition.

12. Limitation of Liability

Streamline Event Rentals’s liability shall not exceed the total rental amount paid.

Streamline Event Rentals shall not be liable for:

  • Event cancellation losses
  • Food spoilage
  • Business interruption
  • Indirect or consequential damages

This Agreement is governed by the laws of the Province of Ontario.
